This Privacy Policy explains how ICLOGI LOJISTIK VE DIS TICARET LTD. STI. (“Iclogi Logistics”, “we”, “us”) collects, uses, stores and protects your personal data when you visit www.iclogi.com or use our international cargo and freight forwarding services. We process personal data in accordance with the Turkish Personal Data Protection Law No. 6698 (“KVKK”) and, where applicable to visitors located in the European Union, the EU General Data Protection Regulation (“GDPR”).

2. What Personal Data We Collect

Depending on how you interact with us, we may collect:

  • Identity and contact data — name, surname, company name, e-mail address, telephone and WhatsApp number;
  • Shipment data — sender and consignee names and addresses, pickup and delivery addresses, contents description, weight and dimensions;
  • Customs and commercial data — invoices, declarations, tax/VAT numbers and other documents required for international clearance;
  • Account and transaction data — login details where you use our customer panel, quotes, order history and payment references (we do not store full card numbers);
  • Technical data — IP address, browser type, device information and cookie data collected automatically when you visit the website (see our Cookie Policy);
  • Communication data — the content of your messages, e-mails and support requests.

3. Purposes of Processing

We process personal data in order to:

  • Provide quotes and deliver our cargo, freight forwarding and courier services;
  • Arrange carriage, customs clearance and delivery, including sharing data with carriers and authorities;
  • Manage your account, bookings, invoicing and payments;
  • Respond to your enquiries and provide customer support;
  • Comply with our legal, tax, customs and accounting obligations;
  • Improve and secure our website and prevent fraud;
  • Where you have consented, send service updates and marketing communications.

4. Legal Basis for Processing

Under the KVKK (Article 5) and, for EU visitors, the GDPR (Article 6), we rely on the following legal bases:

  • Performance of a contract — to provide the services you request;
  • Compliance with a legal obligation — for customs, tax and commercial record-keeping;
  • Legitimate interests — to operate, secure and improve our business and website;
  • Your explicit consent — for non-essential cookies and marketing communications, which you may withdraw at any time.

5. Data Retention

We retain personal data only for as long as necessary for the purposes set out above and for the periods required by Turkish law — in particular the retention obligations under the Turkish Commercial Code (Law No. 6102) and tax legislation, which generally require commercial and accounting records to be kept for up to ten years. When data is no longer needed, it is deleted, destroyed or anonymised in accordance with our retention and destruction policy.

6. Sharing and Transfer of Data

We may share personal data with:

  • Carriers, ground handling agents, customs brokers and delivery partners involved in your Shipment;
  • Customs and government authorities where required by law;
  • Our affiliate Iclogi GmbH in Germany for EU-related operations;
  • IT, hosting, payment and communication service providers acting as our processors under appropriate confidentiality and data-protection commitments.

Because we operate internationally, your data may be transferred outside Türkiye or the EU. Such transfers are made only where required to perform the service and subject to the safeguards required by the KVKK (Article 9) and the GDPR (Chapter V), including your explicit consent or appropriate contractual protections.

8. Data Security

We take appropriate technical and organisational measures to protect personal data against unauthorised access, loss, alteration or disclosure, including access controls, secure connections and confidentiality obligations on our staff and processors.

Under Article 11 of the KVKK, you have the right to:

  • Learn whether your personal data is being processed;
  • Request information about the processing;
  • Learn the purpose of processing and whether the data is used accordingly;
  • Know the third parties to whom your data is transferred, in Türkiye or abroad;
  • Request correction of incomplete or inaccurate data;
  • Request deletion or destruction of your data within the limits of the law;
  • Request notification of such correction, deletion or destruction to third parties;
  • Object to results arising from the analysis of your data by automated means;
  • Claim compensation for damage arising from unlawful processing.

If the GDPR applies to you, you additionally have the rights of access, rectification, erasure, restriction of processing, data portability and objection, and the right to lodge a complaint with a supervisory authority.

10. How to Exercise Your Rights

You may submit any request relating to your personal data by writing to us at contact@iclogi.com or to our registered address above. We will respond within the period required by the KVKK (as a rule within 30 days) and the GDPR. We may ask you to verify your identity before acting on a request.

We may update this Privacy Policy from time to time. The current version is always published on this page, and material changes will take effect upon publication.
